Committees List
Bylaws
The Bylaws Committee shall consist of at least three members. The committee shall review the bylaws yearly and amend as necessary. Changes may be adopted at any business meeting by a 2/3 vote of the members present, provided a quorum is present. Notifications of proposed bylaw changes shall be published in the newsletter for two issues immediately prior to the meeting at which the vote will take place.
Education
The Education Committee develops and provides educational opportunities fold members and the public as opportunities are presented, such as mini presentations, community outreach on National Quilting Day, etc.
Entertainment
The Entertainment Committee shall be responsible for organizing special events such as the winter Holiday Party and the Summer Picnic.
Finance
The Finance Committee shall consist of five (5) members who provide guidance to the President and Treasurer and shall be responsible for more advanced financial functions required of the Guild as a non-profit organization. The Treasurer will be a sixth non-voting member. Essential functions may be assigned to one or more members or may rotate among members depending upon the member's experience.
Historian
The Historian Committee shall be responsible for keeping a written and photographic record of the Guild's activities. They will communicate and liaise with the Urbana Free Library archivists to share our annual directory and help them maintain the ICS guild archived materials.
Hospitality
The Hospitality Committee shall be responsible for greeting new members at meetings, sending cards when necessary, and drawing for door prizes.
Library
The Library Committee shall be responsible for maintaining the Jean Taylor Memorial Library. The library books will be available at each business meeting.
Membership
The Membership Committee shall be responsible for collecting dues, new member information, and distribution of membership materials. The committee shall report membership information to the newsletter editor and Treasurer and provide a current membership listing for the fall membership booklet.
Newsletter
The Newsletter Committee shall be responsible for coordinating activities related to the creation of a monthly newsletter including obtaining information of interest to Guild members. The committee is also responsible for the distribution of the newsletter. The committee will also be responsible for the notification to the membership of cancelled meetings or changes in meeting format using the most appropriate methods.
Nominating
The Nominating Committee shall consist of five members. The president shall appoint two members from the Board of Directors, a Past President of the Guild, and two volunteers from the general membership. A Past President shall be the chair of the committee. The committee shall nominate one member as a candidate for each office to be filled.. These names shall be published in the newsletter for two issues immediately prior to the meeting at which the vote will take place. Nominations from the floor shall be accepted at the beginning of the election, provided the nominee accepts.
Philanthropic
The Philanthropic Committee shall oversee philanthropic projects not coordinated by other subcommittees.
Program
The Program Committee shall coordinate and organize programs and presenters and is responsible for coordination of workshops and Guild Sewing Saturdays.
Publicity and Public Relations
The Publicity and Public Relations Committee shall be responsible for promoting membership and for public awareness of Guild activities.
Quilt Show
The Quilt Show Committee shall consist of the Chair and sub-committee chairs as appointed by the Chair. A treasurer for the Quilt Show may be appointed by the committee chair.
Raffle Quilt
The Raffle Quilt Committee shall have two years to produce a raffle quilt and a third year to to facilitate the raffle. In Quilt Show years the drawing shall take place at the quilt show. In other years, the drawing shall take place at the Holiday Party.
Retreat
The Retreat Committee shall be responsible for organizing a quilting retreat.
Website and Email Communications
The Website and Email Communications Committee shall be responsible for maintaining the Guild website and the Guild's email group.
The Chairpersons of standing committees shall be appointed by the President and shall serve a term of one year. All standing committee chairmen shall be responsible for calling meetings for their committee and will maintain and pass on a written report of policies and procedures for their committee. The President may appoint any other committees decreed necessary. For each new committee the President will appoint a chairman.
